Image Type

Image Type

Click in the Image Type field, and then click the option from the list that best describes the image.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, is an exact duplicate of a previous image in the same batch, or is unreadable, select the corresponding option from the list. If the image does not contain at least one index card, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes. Then continue to the next image, or submit the batch.

This project includes four event types:

To select the event type:

  1. Click in the Event Type field.
  2. Click the down arrow at the right side of the field.
  3. Click the correct record type.

If an event type was not indicated on the card, press Ctrl+B to mark this field as blank.

Given Names

Given Names

The given names may be written either before or after the surname. Be sure to type the parts of the name in the correct fields on the indexing screen. If you cannot determine if a name is a given name or a surname, index it in this field.

Do not include titles or terms, such as infante, Sra, or Dn, with the name. If a name was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation. Do not include punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

If given names were not recorded or were written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Type a four-digit number for the year. If only a two-digit number was recorded, type 19 before the digits when you index the event year.

If the year was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark the field as blank.

Department

Department

Type the name of the department where the event took place.

If the place-name was misspelled, spell it correctly. If it was abbreviated and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. If you are not sure what the abbreviation stands for, index what was written, excluding punctuation.

If the name of the department was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Section Number

Section Number

Type the section number that was recorded for the event. When indexing what was recorded in the Sección column, index digits only; do not type any letters or other symbols.

If the section number was not recorded, press Ctrl+B to mark this field as blank.

Page Number

Page Number

Type the page number that was recorded in the Foja column for the event.

Following the digits of the page number, you may see the letter v or the word "vuelta," or an abbreviation of it, as in 200v or 200vlta. The word or letter refers to the back of the record. In these cases, index only the letter v following the digits; do not index the entire word "vuelta." Do not insert a space between the number and the letter v.

If the page number was not recorded, press Ctrl+B to mark this field as blank.

Record Number

Record Number

Type the number that was recorded in the Acta column for the event; do not include any symbols or letters that may have been recorded with the number.

If the document does not have a certificate number, press Ctrl+B to mark this field as blank.

Volume

Volume

Occasionally, a volume number was written on the index card, either in the Foja column or in the Sección or Acta column. It was indicated by the word "Tomo" or by some abbreviation of it, such as the letter T.

If the volume number was recorded, index the number in this field. When indexing the volume number, index digits only; do not include the word "Tomo," an abbreviation of it, or any other symbols.

Usually the volume number was not recorded. If the volume number was not recorded, press Tab to skip this field.
