Click in the Image Type field, and then click on the option from the list that best describes the image.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, an exact duplicate of another image in the same batch, or unreadable, select the corresponding option from the list. If the data on the image does not match one of the record types being indexed in this project or if it is the back of a birth or death record, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes. Continue to the next image.

To select the record type:

  1. Click in the Record Type field to see the down arrow.
  2. Click the down arrow at the right side of the field to display the options.
  3. Click the correct record type.

The gender may be listed in the title of the record or within the record.

Type either M (for male) or F (for female).

Index the gender only if it was specifically recorded or you can tell what the gender is from relationship terms, such as a son or daughter. Do not assume a gender based on given names.

Town/City

Type the name of the town or city where the event (birth, death, marriage) took place. If the town or city of the event was not specifically designated on the form, type the town or city in which the event was recorded.

The town or city was generally recorded at the top of the form or at the bottom. When not recorded on the front of the card, it may be on the reverse side. For earlier records (1700s and 1800s), the back of the card normally appears on the previous image. Click here for an example.

For later records that had a continuation of information on the back of the cards, the image appears on the next image. Click here for an example.

When an image of the back of the card is available, look at the back of the card for the town or city information, but return to the image of the front of the card to index the information along with the names and dates. Then return to the image of the back of the card and mark it as a No Extractable Data Image.

If the town or city name was misspelled, spell it correctly. If it was abbreviated and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. If you are not sure what the abbreviation stands for or whether the name is actually misspelled, index what was written on the card excluding punctuation.

The county name was generally not written on the records until the twentieth century. When it was recorded, it was usually written near the top of the form.

If the county was misspelled, spell it correctly. If it was abbreviated and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. If you are not sure what the abbreviation stands for or whether the name is actually misspelled, index what was written, excluding punctuation.

Type the state or country where the event (birth, death, or marriage) took place.

If you are looking at the front of a card that does not indicate the state or country, go the previous or next image to see if the information was recorded on the back of the card. If it was, then return to the image of the front of the card to index the information along with the names and dates. Then return to the image of the back of thecard, and mark the image of the back of the card as a No Extractable Data Image.

If the state was misspelled, spell it correctly. If it was abbreviated, and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. If you are not sure what the abbreviation stands for or whether the name is actually misspelled, index what was written on the card, excluding punctuation.
