What to Index in This Project

  • This project includes many kinds of records. Examine each record carefully to find the information for each field to be indexed.
  • Marriage and death records may be mixed in with the birth records, but only birth records are to be indexed in this project.
  • If you find a death or marriage record in a batch, do NOT index it. If an image does not contain at least one birth record, mark the image as a No Extractable Data Image in the Image Type field.
  • If you find an amendment of a birth record that is on a different image, index the information on the amendment as a separate record. Do not correct or change the information you indexed for the original birth record.

Number of Records per Image

  • The data entry area is set at one record per image. If you have an image with more than one record, you will need to add entry lines in the data entry area to match the actual number of records on the image. To add entry lines:
    1. On the menu bar, click Tools.
    2. Click Records per Image.
    3. Click in the Number of Records box, and type the actual number of records on the image.
    4. Click OK.

Duplicate Images

  • If an image in a batch is an exact duplicate of a previous image in the same batch, index the first image, and mark the second image as a duplicate.
  • If the duplicate is easier to read than the first image, combine the information from the duplicate with the information you indexed from the first image.
  • To mark the second image as a duplicate:
    1. Click the Header Data tab.
    2. Click in the Image Type field.
    3. Click Duplicate Image.
    4. Press Tab or Enter, and, on the warning message, click Yes.

Blank and No Extractable Data Images

  • Do not index blank forms.
  • If an image or all forms on the image are blank, mark the entire image as a Blank Image in the Image Type field.
  • If an image contains information but does not include at least one birth record, mark the image as a No Extractable Data Image in the Image Type field.
  • To index the image type:
    1. Click the Header Data tab.
    2. Click in the Image Type field.
    3. Click the option from the list that best describes the image.
    4. Press Tab or Enter.
    5. On the warning message, click Yes.
    6. Continue to the next image in the batch, or, if there are no more images to index, submit the batch.

Highlights

  • Highlights are available for this project.
  •  If highlights do not appear on the image and you want to use them: 
  1. In the menu bar, click View.
  2. Click Show Highlights. If Show Highlights is turned on, that option will have a check mark next to it.
  •  The highlights may not line up with the image. To adjust the highlights to fit the image: 

1.    In the menu bar, click View.
2.    Click Adjust Highlights.
3.    Move the cursor over the image, and all highlights will appear.
4.    To adjust the highlights, click on and drag a corner of the red outline to the proper location or click on and drag an indexing field to the proper location.

•    Adjusting highlights may be tricky. A key to successfully aligning the highlights with the fields is first to adjust the red outline to encompass the area where the fields are located and then to move the indexing fields to the proper locations.

•    To turn the highlights off, in the menu bar click View, and then click Show Highlights.
