Project-Specific Indexing Instructions

Number of Records per Image:

  • The data entry area is set at 40 records per image. You may need to add additional entry lines to match the actual number of records on your image. To do this:
    1. On the menu bar, click Tools .
    2. Click Records per Image.
    3. Set the number of records to the actual number of records on the image.
    4. Click OK.
  • Occasionally the image will contain less than 40 records. If lines on the register have no data, then mark them as blank records. To do this:
    1. Press Ctrl+Shift+B


    1. Click the Mark the record blank icon (three small boxes with blue X over them).

Using Highlights:

  • Highlights are available for this project.
  • If the highlights do not appear on your image:
    1. On the menu bar, click View.
    2. Click Show Highlights so that a check mark appears.
  • The highlights may not always line up with the image, particularly when the register is not centered within the image. When this occurs, try adjusting the highlights to fit the image. To do this:
    1. On the menu bar, click View.
    2. Click Adjust Highlights.
    3. Move the cursor over the image, and all highlights will appear.
    4. Adjust the highlights to match the image.
  • Adjusting highlights may be involved. A key to successfully aligning the highlights with the fields is to first adjust the red outline to encompass the area where the fields are located. Click the following link to get more detailed instructions on how to do this.

  • If the highlights still do not match the form, you may turn them off and use the ruler.

Using the Ruler:

  • If you choose to use the ruler, please be aware that the ruler is not anchored to the indexing screen and does not automatically move as you move to a new entry. To see the ruler, follow these steps:
    1. On the menu bar, click View.
    2. Select Show Ruler.

Handwriting Helps:

  • Many of these records are handwritten. It may be helpful to view the handwriting help now available on the data entry screen.
  • To access this help, on the toolbar just above the data entry area, click on the Handwriting Help icon (which looks like an inkwell with an orange feather quill).
