Sample Images

Number of Records per Image

  • The data entry area is set at one record per image. If you have images with more than one record, such as registers, you will need to add entry lines to match the number of records on the image. To add entry lines:
    1. In the menu bar, click Tools.
    2. Click Records per Image.
    3. Click in the Number of Records box, and type the number of records on the image.
    4. Click OK.

How to Index Ages

  • Index only full years. If fractions of years were recorded, round down to the nearest full year. If less than one year was recorded, index the age as 0 (zero).

How to Index an Amendment

  • An amendment is a correction to a previous death certificate.
  • Index as much information as possible from the amendment, just as you would index any death record.
  • Do not combine the information from the amendment with the information from the original death certificate.

Damaged Pages

  • Some records were damaged and are unreadable. When an entry line or part of an entry line is unreadable, mark the record or the field as unreadable, and continue to index the records or fields that are readable.
  • To mark a field as unreadable, press Ctrl+U, or do the following:
    1. On the menu bar Edit.
    2. Click Mark Field or Record.
    3. Click Mark Field Unreadable.
  • To mark an entire entry line (a record) as unreadable, press Ctrl+Shift+U, or do the following:
    1. On the menu bar, Edit.
    2. Click Mark Field or Record.
    3. Click Mark Record Unreadable.

Corrected or Crossed-Out Information

  • When information was crossed out and then replaced, type the new data in the appropriate fields.
  • When information was crossed out, was not replaced, and can be read, type the crossed-out information.
  • When information was not crossed out but was replaced or was added to, type the most complete version of the record.
  • When information was crossed out, was not replaced, and cannot be read, mark the field as unreadable by pressing Ctrl+U.
  • When no entry on a record can be read, mark the entire record as unreadable by pressing Ctrl+Shift+U.

Overlay Images

  • Some images may include overlays.
  • Index all information that is visible on the image.
  • Do NOT mark overlays as duplicates. Index each death record.

Handwriting Help

  • Many of these records were handwritten. The handwriting resource on the data entry screen may help you decipher handwriting.
  • To access this resource, click on the Handwriting Help icon (an inkwell with an orange feather quill).
