Indexing Parents Names

  • Carefully review the surnames of each parent. If the father's surname is not listed, and the mother's surname does not match that of the child, do not assume the surname of the father.
  •  If the mother's maiden surname is listed without her married name, enter the surname shown on the record into the mother's surname field. Click here for additional help in indexing this field.

Number of Records per Image

  • The data entry area is set at one record per image. If you have an image with more than one record, you will need to add entry lines in the data entry area to match the actual number of records on the image. To add entry lines:
    1. In the menu bar, click Tools.
    2. Click Records per Image.
    3. Click in the Number of records box, and type the actual number of records on the image.
    4. Click OK.

Duplicate Images

  • If an image is an exact duplicate of a previous image in the same batch, index the first image, and mark the second image as a duplicate.
  • If the duplicate is easier to read than the first image, combine the information from the duplicate with the information you indexed from the first image.
  • To mark the second image as a duplicate:
    1. Click the Header Data tab.
    2. Click in the Image Type field.
    3. Click Duplicate Image.
    4. Press Tab or Enter, then click Yes on the warning message.

Blank and No Extractable Data Images

  • Do not index blank cards.
  • If an image contains information but does not include at least one birth record, mark the image as a No Extractable Data Image in the Image Type field.
  • To index the image type:
    1. Click the Header Data tab.
    2. Click in the Image Type field.
    3. Click the option from the list that best describes the image.
    4. Press Tab or Enter.
    5. On the warning message, click Yes.
    6. Continue to the next image in the batch, or, if there are no more images to index, submit the batch.
