Record Fields and Indexing Instructions

Image Type

Image Type

Click in the Image Type field, and then click the option from the list that best describes the image.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, is an exact duplicate of a previous image in the same batch, or is unreadable, select the corresponding option from the list. If the image does not contain one of the record types being indexed in this project, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes. Then continue to the next image, or submit the batch.

Parent's Surname

The surname is usually written before the given names, but may be written after. Be sure to type each name in the correct field on the indexing screen. If you cannot determine if a name is a given name or a surname, index it in the Parent's Given Names field.

Do not index the example (first row of the list, usually JONES, W.P.).

If the parent's surname was not recorded, index the surname of the guardian in this field. Often the guardian of the child was recorded and then the child's parent's surname was recorded below or next to the guardian surname, often in parentheses. If both names were recorded, index only the child's parent's surname, not the surname of the guardian. Click here to see an example.

Do not include titles or terms, such as "Mr," "Mrs," or "Jr", with the name. Type the name as it was written in the document, but do not include punctuation marks, except hyphens and apostrophes when they were written on the document as part of the name. Do not expand abbreviations or correct misspellings.

The parent's or guardian's name may have only been written once for an entire family or household. If so, the parent's names will need to be repeated for each family member. Click here to see an example.

If the recorder began recording a household at the bottom of the previous page and continued at the top of the page you are indexing, you may need to look at the previous page to find the parent's name. To view the previous page:

  • In the menu bar, click View.
  • Click Show Previous or Next Image.
  • In the window that appears, click the Previous Image button.
  • Scroll to find the last surname on the previous image.
  • Type the surname for each person in the family on the page you are indexing.
  • When you are finished viewing the previous image, click View and then Show Previous or Next Image.

If the surname was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Index only full years. If fractions of years were recorded, round down to the nearest full year. If less than one year was recorded, index the age as 0 (zero).
