Index only the names of freedmen (former slaves) or claimants and their family members; DO NOT index the names of officers, commissioners, or bureau administrators.

The given names may be written either before or after the surname. Be sure to type the names in the correct fields on the indexing screen. If you cannot determine if a name is a given name or a surname, index it in this field.

Do not include titles, terms, or ranks, such as Sr or Jr, with the name. If a name was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation. Do not type punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

If given names were not recorded or were written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Usually the military unit was written or recorded in the column titled “Regiment and Company” (or some variation of that heading). Sometimes, it was recorded in the “Remarks” column. At other times, the regiment and company were recorded in separate columns.

Type the military unit just as it appears on the record. Do not correct misspellings or expand abbreviates. Do not include punctuation, except hyphens and apostrophes when they were written on the document as part of the name of the military unit.

Type the first three letters of the month: Jan, Feb, Mar, etc.

If multiple dates were recorded on the claim, index the most recent date in this field. But index the date that the claim was filed, not the date the claim was received, if both dates were recorded on the document.
