Record Fields and Indexing Instructions

Image Type

Image Type

Click in the Image Type field, and then click on the option from the list that best describes the image.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, is an exact duplicate of a previous image in the same batch, or is unreadable, select the corresponding option from the list. If the image does not contain a passenger index card, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes. Continue to the next image. If this is the last image of the batch, submit the batch.

Surname

Surname

Index only the name of the principal (the main person listed on the index card). Do not index any other names that may have been recorded on the card, such as the names of family members, customs agents, or others.

The surname was usually written before the given names, and the cards were typically filed in alphabetical order. Be sure to type the parts of the name in the correct fields on the indexing screen. If you cannot determine if a name is a given name or a surname, index it in the Given Names field.

If an individual’s surname was listed on the card with various spellings, include all variants, separating each with the word Or. For example, if a surname was written as "Broski, Browzowski, or Brzozowski," you would index this field as Broski Or Browzowski Or Brzozowski.

Do not include titles or terms, such as Miss, Mrs, Sr, Jr, or Mr, with the name. Do not include punctuation, except hyphens and apostrophes when they were written on the document as part of the name. Do not expand abbreviations. Type what you see in the document.

If the surname was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Given Names

Given Names

The given names were usually written after the surname. Be sure to type the parts of the name in the correct fields on the indexing screen. If you cannot determine if a name is a given name or a surname, index it in this field.

If an individual’s name was listed on the card with various spellings, include all variants, separating each with the word Or. For example, if a name was written as "Georgios (George)," you would index this field as Georgios Or George.

Do not include titles or terms, such as Miss, Mrs, Sr, Jr, or Mr, with the name. If a name was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation. Do not include punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

If given names were not recorded or were written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Age

Age

Type the age in this field. Index full years only. If fractions of years were recorded, round down to the nearest full year. If less than one year was recorded, index the age as 0 (zero).

If a birth year was recorded but not an age, do not calculate the age based on the birth year and the arrival year.

If the word "infant" was recorded in the age field, index the age as 0 (zero). If the word "adult" was recorded in the age field, press Ctrl+B to mark this field as blank.

If the age was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Gender

Gender

Type either M (for male) or F (for female).

Index the gender only if it was specifically recorded or you can tell what it was from relationship terms, such as "son" or "daughter," or from other contextual indications, such as a title or term. Do not assume a gender based on given names.

If the gender was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Country of Birth or Nationality

Country of Birth or Nationality

Type the country of birth or nationality according to what was written on the record. If a country of birth and a nationality were both recorded, then index the country of birth in this field.

If the term was misspelled, spell it correctly. If it was abbreviated, type the complete name as a COUNTRY instead of as a nationality. If only initials were written as the place of birth or the nationality, then index the initials as they were written on the card, excluding any punctuation that may have been used.

If more than one nationality or country of birth was written on the record, index them as they were written, correcting misspellings and expanding abbreviations as you are able, but excluding commas or other punctuation marks, except hyphens if they were used in recording the place-name.

If neither was recorded, then index related information, in this order of priority:

  1. Country of allegiance
  2. Place of birth (If multiple levels of locality were recorded WITHOUT A COUNTRY NAME, index all levels, leaving only a space between each level of locality. Look over the form carefully; sometimes the country name was written elsewhere on the form.)
  3. Last permanent residence
  4. Race

If the country of birth, nationality, or related information was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Ship's Name

Type the ship's name that was written on the index card.

Do not include punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

Do not include the vessel type, such as "SS," "Brig," "Steamer," or "Ship," when you index the ship's name.

If the ship's name was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Event Year

Type the most recent year that was written on the record. Type a four-digit number for the year. If no year or only a two-digit number was recorded, you may be able to determine the year from other data on the image. If you still cannot determine the full four-digit year, type what was written on the record. Index the
