Record Type

There are three different types of documents in this project.

  1. Bautismo (Baptism record)
  2. Matrimonio (Marriage record)
  3. Defunción (Death record)
To select the correct record type, do the following:
  1. Click in the record type field to see the down arrow.
  2. Click on the down arrow to display the options.
  3. Scroll to and click on the correct record type.

The baptism day is usually written on the document as text. Transcribe the word or words that represent the day, and type a one- or two-digit number in this field. Do not include descriptive words, such as: alrededor, poco, más o  menos, or aproximadamente. The baptism day may vary as to its location in the document.

If the baptism day is missing, press Ctrl+B to mark this field as blank.

Principal's Given NamesPrincipal's Given Names

The principal is the main person on the document. If the document is a birth record, the principal is the baby. If the document is a death record, the principal is the person who died. If the document is a marriage record, the principal is usually the groom.

Type the principal’s given names from the document. Sometimes the name was recorded in more than one place. For example, it may be written as J C Maldonado in one place, as Juan C Maldonado in another, and as Juan Carlos Maldonado in another place. Check all the places where the name is written on the document, and index the most complete version of the given names in this field.

If you see significant variations of the name on the document, type both versions separating them with the word or, such as Maria or Marina. If the variation is minor, such as Rosa or Rossa, just type one or the other.

Do not include titles or terms with the principal’s given names such as: Sr, Sra, Da, Dn, Vda, Vde, etc. Do not expand abbreviations. Type what you see in the document.

Type only names in this field. If the principal’s given names were not recorded on the document or were written as a term, such as desconocido, bebé, or hombre, press Ctrl+B to mark this field as blank.

Type the principal’s surnames from the document.

Sometimes the name was recorded in more than one place. For example, the name may be written as J C Maldonado in one place, as Juan C Maldonado in another, and as Juan Carlos Maldonado in another place. Check all the places where the name is written on the document, and index the most complete version of the surnames in this field.

Type S for soltero/soltera, C for casado/casada, and V for viudo/viuda. Words referring to a male usually end in "o." Words referring to a female usually end in "a," such as soltero for a man and soltera for woman.

If the principal's civil status was not recorded on the document, press Ctrl+B to mark this field as blank.

Principal's Gender

Type H for male, M for female, or U for unknown.

Determine the gender by the words which usually appear in the record between the principal's name and parents' names. Words referring to a male usually end in "o." Words referring to a female usually end in "a," such as hijo for son and hija for daughter. 

Use the U only if the principal’s gender cannot be determined by the name or other information on the record.
