Record Fields and Indexing Instructions

Image Type

Image Type

Click in the Image Type field, and then click on the option from the list that best describes the image.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, is an exact duplicate of another image, or is unreadable, select the corresponding option from the list. If the data on the image does not match one of the record types being indexed in this project, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes. Then submit the batch.

This project includes three record types: Baptism, Marriage, and Burial.

To select the record type:

  1. Click in the Record Type field.
  2. Click the down arrow at the right side of the field.
  3. Click the correct record type.

Baptism Month

Baptism Month

Type the first three letters of the christening or baptism month: Jan, Feb, Mar, etc. In some records, the month of birth was also recorded. Be sure to index the month of baptism only; however, if no baptism date was recorded, but there is a birth date, type the birth month in this field.

If the month was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Type the one- or two-digit number for the christening or baptism day. In some records, the day of birth was also recorded. Be sure to index the day of baptism only; however, if no baptism date was recorded, but there is a birth date, type the birth day.

If no year or only a two-digit number was recorded, you may be able to determine the year from other data on the image or from the previous or next image. If you still cannot determine the full four-digit year, type what was written on the record.

Given Names

Note: Some records were for adult baptisms. When adults were baptized, their names were often written in the parents’ name column of the registry. Be sure to index these names in the Given Names and Surname fields.

Surname

Note: This is field will generally be blank except for adult baptisms. When adults were baptized, a surname was usually recorded along with the given names, and the names were often written in the parents’ name column of the registry. Be sure to index these names in the Given Names and Surname fields.

When a child baptism is recorded there will generally not be a surname. Do not assume a child's surname from the father's surname.

Index the gender only if it was specifically recorded or if you can tell what it was from relationship terms, such as "son" or "daughter," or from other language clues. Do not assume a gender based on given names.

If you need help determining the gender of a parent, click here to see a list of common given names and the usual gender associated with the name. If you still cannot determine gender, use your best intuition to decide the gender. If you cannot determine gender from the list or by using intuition, index the name of the first listed parent as the father and the name of the second as the mother. If only one parent is listed and you are unable to determine the person's gender, index the parent's name in the father's name fields.
