Record Fields and Indexing Instructions

Image Type

Image Type

Click in the Image Type field, and then click the option from the list that best describes the image.

  • If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.
  • If the image is blank, is an exact duplicate of another image in the same batch, or is unreadable, select the corresponding option from the list. Press Tab or Enter, and, on the warning message, click Yes.
  • If the data on the image does not match one of the record types being indexed in this project, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes.

This project includes three record types. Click the links below to see examples.

  1. Birth (Рождение)
  2. Marriage (Браки)
  3. Death or burial (Смерти)

To select the record type, click in the Record Type field; then click the down arrow at the right side of the field, and select the correct record type.

Page Number

Page Number

Type the page number that was written in the top corner of the image.

If a page number was not recorded, press Ctrl+B to mark this field as blank.

Entry Number

Entry Number

Type the entry number that was written in the column on the left side of the record.

If an entry number was not recorded, press Ctrl+B to mark this field as blank.

Birth Day

Birth Day

Type the one- or two-digit number for the birth day. The birth date is located in the column titled "Рождения."

If a birth day was not recorded or if the day was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Birth Month

Birth Month

Type the first three letters of the month: янв, фев, мар, etc.

The month was written across the columns of birth and baptism days, which is titled "Месяц и день." It was usually written once for all events recorded in that month.

If the month was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Gender

Gender

The gender of the child is indicated by the column in which the entry number was written. If the entry number was written in the first column, titled "Мужеска пола," the gender was male. If the entry number was written in the second column, titled "Женска пола," the gender was female.

Type M for мужчина (male) or Ж for женский (female). Index the gender only if it was specifically recorded or if you can tell what it was from relationship terms, such as "son" or "daughter," or from other language clues.

If the gender was not recorded or was written as a variation of the word "unknown" and you cannot tell what it was from relationship terms or other language clues, press Ctrl+B to mark this field as blank.

Child's Given Names

The child's given names were written in the column titled "Имена родившихся." The name was usually written with the given name and initials first.

Do not include titles or terms, such as baby or infant, with the name. If a name was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation. Do not index punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

If given names were not recorded or were written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

The given name and patronymic names were written in the column titled "Звание, имя, отчество, фамилия родителей и какого вероисповедания."

The given and patronymic names were usually written before the surname. Be sure to type the names in the correct fields on the indexing screen. If you cannot determine if a name is a given name or a surname, index it in the given names field.

If only two names were recorded, do not assume that the second name is the patronymic name; in this case, always index the second name as the surname.

Do not include titles or terms, such as Captain or Mr, with the name. If a name was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation. The gender of the deceased was indicated by which column the entry number was written in. If the entry number was written in the first column, the gender was male. If the entry number was written in the second column, the gender was female.
