Record Fields and Indexing Instructions

Image Type

Image Type

Click in the Image Type field, and then click on the option from the list that best describes the image.

When the left side of the page is the back side of the record or blank, mark the 1st record as "NO EXTRACTABLE DATA" or "Blank". See samples below.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, is an exact duplicate of another image, or is unreadable, select the corresponding option from the list. If the image does not contain death information, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes. Then continue to the next image.

Index the record (acta) number as it is written or typed on the record. The number is usually located in the left margin of the certificate.

If a certificate number was not recorded, press Tab to skip this field.

Page Number

Type the page number that was recorded in the upper-right or upper-left corner of the page.

If the page number was not recorded, press Tab to skip this field.

Registration Place

Registration Place

Type the name of the city, town, or village where the certificate was registered. Don't confuse the registration place with the place of death.

If a city and village (or town) were both recorded, index the name of the city in this field.

If the place-name was misspelled, spell it correctly. If it was abbreviated and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. If you are not sure what the abbreviation stands for, index what was written, excluding punctuation.

If the city, town, or village was not recorded, or was written as a variation of the word "unknown," press Tab to skip this field.

Deceased's Given Names

Index the first names and any middle names in this field. If you cannot determine if a name is a given name or a surname, index it in the Given Names field.

Do not include titles or terms, such as Sr, Sra, or Dña, with the name. If a name was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation. Do not index punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

Select the gender from the provided lookup list (Ctrl+F): Hombre (man), or Mujer (woman).

Index the gender only if it was specifically recorded or if you can tell what it was from relationship terms, such as "hijo" or "hija," or other language indications, such as a title (Sr, Sra, etc.) or a pronoun. Do not assume a gender based on given names.

If the gender was not recorded, or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Age

Age

Index only full years. If fractions of years were recorded, round down to the nearest full year. If less than one year was recorded or a child was stillborn, index the age as 0 (zero).

If the age was not recorded, do not try to figure the age from the death date and the birth date. Just press Tab to skip the field.

If the age was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Type a four-digit number for the year. If no year or only a two-digit number was recorded, you may be able to determine the year from other data on the image or from the previous or next image. If you still cannot determine the full four-digit year, type what was written on the record.

Place of Death

Type the name of the city, town, or village where the individual died. Don't confuse the place of death with the place of registration.

If a city and village (or town) were both recorded, index the name of the city in this field.

If the place-name was misspelled, spell it correctly. If it was abbreviated and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. If you are not sure what the abbreviation stands for, index what was written, excluding punctuation.

If the city, town, or village was not recorded or was written as a variation of the word "unknown," press Tab to skip this field.

("Esta ciudad" means "this city" -or the same as the registration place.)
