Project specific Indexing Instructions

Language for Field Names

The indexing field names and the field helps in the right bottom corner of the indexing screen are also available in Hungarian. To change to Hungarian:

    1. At the top of the data entry screen, click Tools.
    2. Select Options.
    3. Select Language.
    4. Click the drop-down arrows in the boxes titled Language for Field Names and Language for Field Help, and select Same as Document.
    5. Close the data  entry screen and reopen the batch for the change to take effect.

International Letters

If the name of the person or a locality you are typing is written with an international character such as the accented á in Ignácz, please insert the international letter by doing the following:

    1. On the menu bar, click Edit
    2. Click International Letters, or click the International letter icon on the tool bar above the date entry area and select the letter you want to type.

Number of Records per Image

  • Each batch contains 3 images. The data entry area is set at three records per image; however, this project may contain more than three records per image. You will need to adjust the number of records in the data entry area to match the number of records on your image. To do this:
    1. On the menu bar, click Tools.
    2. Click Records per Image.
    3. In the box next to Number of records, type the desired number.
    4. If needed, click the check box to apply to all images.
    5. Click OK.                    
  • Upon completion of each image a message will appear asking if you want to add one or more records to this image.

          1. If there are no more records to index, insure that "0" (zero) is in the Number of records box.
          2. Click OK.

Indexing Names

  • Title or Terms: Do not index titles or terms relating to any given name or surname. Some examples of these are: Dhr, Mevr, Mej, Junior, Sen, etc.  
  • When indexing a name that has one or more aliases or uses an AKA, index all variations of the name separating each with the word or.

Indexing the First Record of a Batch

  • When the first image of a batch begins with a partial record, start indexing at the first complete record.

Indexing Records that Span Two Images

  • Indexing a record that begins at the bottom of one image and continues at the top of the next image in the same batch.
    1. Click on View.
    2. Click on Show Next Image.
    3. Index the record while viewing both images concurrently.

Indexing the Last Record of a Batch

  • When the last record of the batch is not complete:
    1. Make sure you are connected to the Internet and working online.
    2. Click on View.
    3. Click on Show Next Image.
    4. Index the record while viewing both images concurrently.
