Record Fields and Indexing Instructions

Image Type

Image Type (one image in a batch)

Describe the image above. To do this, click in the Image Type field, and then click the down arrow at the right side of the field. Select an option from the list.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If there is no information to be indexed because the image is blank, is a duplicate, has no extractable data, or is unreadable, select one of these options. Press Tab or Enter, and, on the warning message, click Yes. Then submit the batch.

Page Number

Page Number

Page numbers are normally located in the upper right corner of pages on the right side of image..

Page numbers are to be indexed with each record and will be automatically duplicated when moving to a new record. Be sure to manually change the page number when starting to index the second page on the image.

If the page number was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Line number

Line Number

The line number is located before the information of each person. Many of the records do not have line numbers.

Type the line number that was written or stamped on each record.

If the line number was not recorded or contains a variation of unknown, press Ctrl+B to mark this field as blank.

Street Name

Street Name

The street is located before the information of each person.

Type the street name that was written for each record.

The computer will repeat the street name for all entries. Make sure you change the street name when it changes in the document.

If the street name was not recorded, press Ctrl+B to mark this field as blank.

House Number

House Number

The house number is located before the information of each person.

Type the house number that was written for each record.

The computer will repeat the house number for all entries. Be sure to type the new house number when it changes on the document.

If the house number was not recorded, press Ctrl+B to mark this field as blank.

Given Names

Given Names

The given names may be written either before or after the surname. Watch the names carefully, and be sure to type the names into the correct fields on the indexing screen.

Do not include titles or terms with the given names, such as: Sr, Jr, Baby, Infant, etc. Do not index punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

If a given name was abbreviated, type the name as it was written on the document. Do not type a period after the abbreviation.

If the given names were not recorded or were written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Family Name

Family Name

The family name may be written either before or after the given names. Watch the names carefully, and be sure to type the names into the correct fields on the indexing screen.

The surname may have been written only once for the first member of the family. However, it needs to be repeated for each family member.

Do not include titles or terms with the surname, such as: Sr, Jr, Baby, Infant, Mrs, etc. Do not index punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

If the surname was not recorded, was written as a variation of the word "unknown," or cannot be determined from the previous image, press Ctrl+B to mark this field as blank.

The marital status or occupation is located in the column Stand oder Gewerbe.

Select the marital status or occupation from the drop-down list provided.

If the marital status or occupation was not recorded or contains a variation of unknown, press Ctrl+B to mark this field as blank..

The date was usually written with the day first, then month and year.

Type only the one- or two-digit number that represents the day.

If the day was not recorded or contains a variation of unknown, press Ctrl+B to mark this field as blank.

The acceptable abbreviation for the month is the first three letters: Jan, Feb, Mär, etc.
