Record Fields and Indexing Instructions

Image Type

Image Type

Click in the Image Type field, and then click on the option from the list that best describes the image.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, an exact duplicate of another image, or unreadable, select the corresponding option from the list. If the data on the image does not match one of the forms being indexed in this project, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes.

This project includes four different census forms: 

To select the record type:

  1. Bevölkerungstabelle (head of household lists)
  2. Deckblatt (cover sheet)
  3. Zählungsliste (every name lists)
  4. Nachtragsliste (supplemental lists of absent persons)      
    1. Click in the Record Type field to see the down arrow.
    2. Click the down arrow at the right side of the field to display the options.
    3. Click the correct record type.
Number of Household

Number of Household

Type the number that is written in the column labeled “Nummer der Haushaltsliste” (column 3) or in the blank next to “Haushaltsliste No.”

If the number was not recorded or was written as a variation of the word “unknown,” press Ctrl+B to mark this field as blank

Given names

Given Names

The given names are located in the column titled “Vorname.” Be sure to type the names in the correct fields on the data entry screen. If you cannot determine if a name is a given name or a surname, index it in this field.

Do not include titles or terms, such as Fräulein, Frau, or Herr, with the names. If a given name was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation. Do not index punctuation, except hyphens and apostrophes when they were written on the document as part of the name.

If given names were not recorded or were written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Surname

Surname

The surname is located in the column titled “Familienname.” Be sure to type the names in the correct fields on the data entry screen. If you cannot determine if a name is a given name or a surname, index it in the Given Names field. For women, the maiden name may be recorded. The maiden name is usually written after the word "geborene" or the abbreviation "geb". Index only the maiden name.

Do not include titles or terms, such as Fräulein, Frau, or Herr, with the name. Do not include punctuation, except hyphens and apostrophes when they were written on the document as part of the name. Do not expand abbreviations. Type what you see in the document.

If the surname was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Number in Household

Type the number that is written in the column labeled “Ordnungs-Nummer” (column 1).

If the number was not recorded or contains a variation of unknown, press Ctrl+B to mark this field as blank.

Gender

Gender

The gender is recorded in columns 4 and 5. Type either M for männlich (male) or W for weiblich (female).

Index the gender only if it was specifically recorded or if it can be determined by the relationship as a son or daughter. Do not assume a gender based on given names alone.

If the gender was not recorded or was written as a variation of the word "unknown," press Ctrl+B to mark this field as blank.

Birth Month

Birth Month

The birth month is usually not recorded on the census form. If it is recorded, it will be written near the birth year in the birth year column.

Type the first three letters of the month: Jan, Feb, Mär etc.

If the month was not recorded or was written as a variation of the word "unknown," press Tab to skip this field.

Birth Year

The date was recorded in column 6. Sometimes the birth month was included in this column as well.

Type a four-digit number for the year. If no year or only a two-digit number was recorded, you may be able to determine the year from other data on the record or from the previous or next image. If you still cannot determine the full, four-digit year, type what was written on the record.

If the year was not recorded or was written as a variation of the word "unknown," press Tab to skip this field.

Religious affiliation

Religious affiliation

Type the religious affiliation (Religionsbekenntnis) that was recorded in section 4 (column 7).

If the religion was abbreviated, type the religion as it was written on the document. Do not type a period after the abbreviation. Use the lookup list for assistance.

If the religion was left blank or was written as a variation of the word “unknown,” press Tab to skip this field.

Marital Status

Marital Status

The marital status (Familienstand) was recorded in section 5 (columns 8 through 11): ledig (single), verehelicht (married), verwittwet (widowed), or geschieden (divorced).

Select the marital status from the drop-down list provided.

If the marital status was not recorded or was written as a variation of the word “unknown,” press Ctrl+B to mark this field as blank.

Relationship to Head of House

Relationship to Head of House

The relationship of the individual to the head of the house was recorded in section 5 (column 12).

Type the relationship that was written on the record, using the lookup list for assistance. If the relationship was written as "Haushalts Vorst" or other abbreviation of the same, index it as "Haushaltungsvorstand".

If the relationship was not recorded or was written as a variation of “unknown,” press Tab to skip this field.

The occupation type was recorded in section 6 (column 13).

Index the occupation type that was written on the record, using the lookup list for assistance.
